Properties

Overview

Properties are the backbone of a searchable and intelligent Workspace. They act as structured metadata — attributes used to add specific context, classification and depth to your Nodes.

They transform a simple list of files into a sophisticated, queryable database. They allow your teams and AI agents to classify, organise and distinguish between thousands of items to find precise information in seconds, such as filtering for contracts by "Termination Date" or identifying articles by a specific "Author".

Properties can include dates, prices, status, emails, phone numbers, checklists, descriptions and more.

What are Properties?

By adding properties to nodes, you can easily filter and search for specific information based on those attributes. For example, you can add a "rating" property to prioritise certain tasks or a "deadline" property to keep track of projects.

Properties help you customise and enhance the organisation and retrieval of your data in myReach.

There are two core types of Properties: - DEFAULT – these appear in every Node you save in myReach - CUSTOM – these are generated by the user, and can be edited.

Key Benefits

  • Search and Filtering: Move beyond keyword searches and quickly find specific information, such as identifying all invoices with a "Status" of Pending or finding contracts that end this year and have a "Revenue" between 50k and 100k.

  • Enhanced Organisation: Properties allow you to sort, filter and search for nodes based on specific property values. This makes it easier to locate and manage your information.

  • Customisation: You can create custom properties to suit your unique data management requirements. This flexibility allows you to adapt myReach to your workflow and preferences.

  • Personalisation: By using Properties, you can personalise the way you organise and retrieve your data. This customisation ensures that myReach aligns with your information management style.

DEFAULT Properties

MyReach includes default properties like "Creation Date", "File Type" and "Size". These Properties provide essential information about the core metadata of a Node.

Default properties cannot be edited or permanently deleted. However, they can be hidden from the Node’s list of Properties by right clicking on the property. This action can be reverted by adding the property again: “Add Property”.

CUSTOM Properties

You can create custom Properties (user-generated Properties) based on your specific needs. First you need to decide the "Type" of Property that it is (whether it's a checkbox, date, location, number, etc), and then customise it. Here are some examples to guide you: - COST is a "Number" Property - IMPORTANCE is a "Select" Property with fields "low", "medium", "high" - DUE DATE is a "Date" Property

These properties help you add context to your nodes and tailor them to your workflow.

Steps to create a custom property:

  1. Click on a Node to open it.

  2. Go to the "Properties" section.

  3. Click on "ADD property."

  4. Click on "Create New Property" and select the type of property you want to create

  5. Fill in the necessary details.

Alternatively, choose any Property type from the list of pre-existing Properties and fill in the necessary details to add it.

Deleting user-created properties: To delete a Property, go to Profile < Settings < Properties < Select the Properties you want to delete and Click on "Permanently Delete Property".

Advanced Property Features

🤖 AI-Populated Properties
You can now automate data entry to eliminate manual typing. By enabling the AI-Populated Toggle on a Property:

  • The AI automatically scans the content of a Node.

  • It identifies and extracts relevant information (e.g., finding an "Email" address within a 50-page PDF).

  • The field is populated automatically, ensuring your database remains comprehensive with zero extra effort.


🔄 Merge Properties
To prevent your knowledge base from becoming cluttered with duplicate attributes (e.g., having both "Price" and "Cost"), you can use the Merge feature.

  • Combine multiple similar properties into one Primary Property.

  • This ensures that when a team member filters the data, they receive a complete, unified list of results regardless of how the original data was labelled.


📈 Advanced Numerical Filtering
For total precision, you can now specify unit measurements and ranges within your filters.

  • Size & Scale: Filter for files larger than 100MB.

  • Specific Ranges: Find suppliers with a commission between 10% and 20%.

  • Financial Thresholds: Identify contracts with a value greater than £50,000.

Different types of Properties

MyReach offers various property types to suit different needs:

Checkbox: This is a Boolean property, like a checkbox for marking something as checked or unchecked, such as visiting a place or buying a product.

Currency: This property type represents monetary values. You can specify an amount and choose the currency from a list.

Date: Date properties can be used for various purposes, such as birthdays, due dates, or reminders. You can set the date and time, and even configure recurring events or reminders.

Distance: This property type allows you to input distances, currently using the metric system. If you need imperial units like feet and miles, please contact us.

Email: Email properties are handy for storing contact emails. You can add multiple email addresses for a single node.

Importance: Importance is a property that ranges from 0 to 10, helping you prioritise tasks and issues. You can assign importance values to quickly filter and identify critical items.

Location: You can add location properties, which work similar to the map view. You can search for locations, click on a place, or drop a pin to specify a location.

Multi-Select: This property type is suitable for items where multiple values can be chosen and assigned to a single node (ex: ingredients).

Number: Use this property type for numerical values, such as quantities or units.

Percentage: Percentage properties are used to represent values from 0% to 100%, suitable for indicators like success probability or commission rates.

Phone: This property allows you to add multiple phone numbers, such as work, personal, or mobile numbers.

Rating: With rating properties, you can assign star ratings from 0 to 5 for reviews or evaluations.

Time: Time properties represent hours, helpful for indicating durations, preparation times, or any time-related values.

URL: URL properties are used for adding website links or references. They are not nodes but direct links to external websites.

Weight: This property is used to specify weights, currently in the metric system. If you need other units, please contact us.

Words: These allow you to create lists of unique words, making them suitable for items like ingredients in a specific recipe.

Each property type serves a specific purpose, from marking completed tasks to specifying monetary values or durations.

Properties classification in nodes

In Node's properties tab, if you click on '+' next to search field, you see properties are classified into In Use and All Properties

In Use – This includes all those properties that are being used in current Workspace.

Properties that are marked tick are the properties that are in current node.

All – This includes all the existing Properties in your entire knowledge base, including those in other Workspaces.

Property Functions

Removing / Hiding Properties

To remove a property from a node:

Swipe left on the property you want to remove. Select "Remove." This action hides the property but doesn't delete it entirely. It can be unhidden later if needed.

AI Properties

Wikipedia Extracted Properties: When a Tag is created, MyReach automatically extracts information from Wikipedia if available. This includes a brief description and a link to the Wikipedia page. You can customise this information in the property settings.

AI status: When a node is created, our AI learns the content of the node and sets the status as "Learned", "Not Learned", "Failed to Learn" or "Unprocessable".

Summary: Summary in myReach refers to an automatically generated brief description or synopsis of the content when you save a file, website, or note.

This AI-generated summary serves two main purposes:

  1. Content Understanding: It provides a quick overview of the node's content in a few sentences, aiding in understanding the information without delving into the entire document or webpage.

  2. Efficient Search: The summary facilitates easier searching for nodes, allowing you to quickly identify and access relevant information.

Filtering by Properties

Properties allow for efficient filtering and categorisation of nodes. You can filter nodes by their properties to quickly find specific information or tasks.

Property Settings

The Property Settings menu (Profile > Settings > Properties) allows you to manage Properties at a global level.

Changes made here affect all properties of that type in your Workspace.

❗ Be cautious when making changes in this menu, especially if you plan to delete a Property type, as it will be removed from all nodes.


How can I create reminders?

To create reminders in myReach, you can follow these steps:

  1. Open the myReach app and navigate to the specific note or node where you want to create the reminder.
  2. Look for the "Properties" section or settings of the note. It may be represented by an icon like a clock or a calendar.
  3. Within the properties, locate the "Reminder" property. This property allows you to set a specific date and time for your reminder.
  4. Click on the reminder property and choose the date and time you want the reminder to be set.
  5. Save the reminder, and it will be associated with that specific note or node.
  6. You can also customize the reminder by setting it to repeat at specific intervals or adding additional properties like importance or distance.
